Introduction
Based at the SPAR KZN Distribution Centre, the purpose of this role is to provide a high level Personal Assistant support function to the Managing Director and the Finance Director. This role goes beyond traditional administrative tasks and offers an opportunity to work closely with the leadership team and external stakeholders.
Job Description
- Assist in compiling management reports and preparing meeting minutes and follow-up actions.
- Assist with preparation of presentations.
- Draft correspondence, filing and minute taking.
- Manage complex calendars in collaboration with the leadership team secretaries/PAs.
- Prioritise appointments and travel arrangements.
- Act as liaison between the Managing Director and all internal and external stakeholders.
- Handle sensitive information with discretion and maintain strict confidentiality regarding all matters relating to the MD’s office.
- Support the MD with special projects, initiatives, and research assignments as needed, demonstrating flexibility and adaptability to changing priorities.
- Coordinate meetings, conferences and events including agenda preparation, venue booking, technical support, and logistics management.
- Build and maintain a strong business relationship with internal and external stakeholders on behalf of the leadership team.
- Manage information flow in a timely and accurate manner.
- Management of company pool vehicles and bookings.
- Effectively manage and lead a team of direct reports.
- Carrying out any reasonable tasks requested by management (ad hoc duties).
Minimum Requirements
- A relevant tertiary qualification.
- Minimum of 3 years as a Personal Assistant to Senior Executives essential.
- Fully computer literate on MS Office suite.
- SAP experience will be advantageous.
- Excellent written and verbal communication skills.
- Accuracy and attention to detail.
- Good Interpersonal, problem solving and organisational.
- Ability to work independently without any supervision.
- Supervisory and people management skills.
- Deadline orientated.
- Able to respond to incoming correspondence on behalf of the MD.
- Flexible in terms of working hours and travel.
- Positive attitude and team player.
